Requests to Refuse
The asks that arrive once attendance is being recorded, why each should be declined, and what to offer instead.
What not to do
Once a record exists, people ask it questions it should not answer. In a small business the asker is usually the owner, which makes deciding in advance more useful than usual.
"Put the absence figures on the noticeboard"
Why to refuse: it discloses health information to colleagues, humiliates, and changes nothing a conversation would not.
Instead: the aggregate to whoever runs the business; the individual to the individual.
"Ask them what's actually wrong"
Why to refuse: it is health data with a higher legal bar, you have no operational use for it, and asking creates a record you then have to protect.
Instead: "sick" as the reason, and the return-to-work conversation, which is where the useful information comes from anyway.
"Set up automatic warnings after three absences"
Why to refuse: it counts disability-related and pregnancy-related absence, which in many jurisdictions it must not, and it removes the judgement that was the point.
Instead: a trigger as a prompt for a conversation, with a named person who can set it aside.
"Dock their pay for being late"
Why to refuse: without a contractual right it is an unlawful deduction in many places, and it converts a small problem into a formal grievance.
Instead: fix the structural cause first, then the ordinary process.
"Check the door logs to see when people actually arrive"
Why to refuse: a door event is arrival at the building, not the start of work, and using it for pay creates a dispute about the gap.
Instead: decide what the record means and use it for that.
"Turn on the tracking feature — it came with the subscription"
Why to refuse: no attendance purpose requires screenshots, activity scores or location through the day, and their presence changes how the whole system is received.
Instead: check the defaults, switch them off, and say publicly that you did.
"Just require a doctor's note every time"
Why to refuse: where the law does not require it, you impose a cost and an appointment on an ill person to obtain a document saying what they told you.
Instead: self-certification to the statutory threshold.
What these have in common
Each replaces a conversation with a mechanism.
In a business of twenty the conversation is available and takes ten minutes, and produces a better answer than any of them.
Which is the advantage small businesses have, and these requests are the ways of spending it.
Deciding in advance
Write down which of these you will not do, and why, before anyone asks.
It is easier to hold a position you took calmly than one you have to invent during a frustrating week.
Write the position down first
Before anyone asks.
Which of these you will not do, and the reason for each.
Agreed with whoever else makes decisions.
Because holding a position you took calmly is much easier than inventing one during a frustrating week when someone has been off four times.
And in a small business the person asking is frequently you, which is exactly why it should have been decided in advance.
Check the difficult case
Use the field-mapping example to frame one representative test for this issue. The useful evidence is the record created when an employee corrects an entry, a manager reviews it and an administrator exports it.
