The categories beyond holiday and sickness, which small businesses meet rarely and therefore handle badly.

These arise a few times a year in a small business, which is exactly why the process is never ready.
The categories
Parental leave around a birth or adoption, with statutory minimums and frequently statutory pay.
Time off for dependants: an emergency involving someone who relies on the employee. Usually short, usually unpaid, and usually a right rather than a favour.
Bereavement leave, which in some jurisdictions is a statutory right and in others is discretionary.
Carer's leave, a growing category with new statutory rights in several places.
Jury service and public duties.
Medical appointments, which are not sickness and need their own treatment.
What to have ready
A note of what each category is and roughly what the entitlement is, even if it is a paragraph.
Who decides, so nobody is waiting for an answer during an emergency.
What evidence is expected, which for an emergency is usually none.
Because the moment someone's child is taken to hospital is not when you work this out.
Recording them
Separately from sickness and from holiday. Conflating them distorts both the absence figures and the leave balance.
With a reason category, not a story.
Emergency dependant leave in particular should not sit in a sickness record, where it affects sick pay calculations and any absence trigger.
Medical appointments
Not sickness, and recording them as such is a common and consequential error.
Decide the policy: paid, unpaid, made up later, or within a flexible window.
Antenatal appointments are separately protected in many jurisdictions and must be paid.
Appointments relating to a disability may need to be treated as an adjustment rather than as absence.
The small-business reality
A single absence can be a genuine operational problem in a team of eight, and pretending otherwise helps nobody.
Say so honestly and solve the coverage, rather than making the person feel the problem is theirs.
Most people in a small business will help cover a colleague's emergency if asked plainly and if they believe the same would be done for them.
That reciprocity is the actual asset, and it is spent by handling one of these badly.
When to take advice
Anything around pregnancy, birth or adoption, where the protections are strong and the errors are expensive.
Anything where an employee's absence relates to a disability, theirs or a dependant's.
Before refusing a request in any of these categories, because several of them are rights rather than requests.
Keep them out of the sickness record
A recording decision with real consequences.
Emergency dependant leave is not sickness.
Recorded as sickness, it affects sick pay calculations and counts toward any absence trigger, which is both wrong and unfair.
Medical appointments are not sickness either.
Give each its own code, which costs nothing at setup and is very awkward to unpick a year later when someone queries their absence total.
